How a Power BI Dashboard Transformed a Houston Real Estate Investor's Business

From 14 spreadsheets and gut-feel decisions to a single dashboard that runs the whole portfolio.

When we first met this client, he was spending roughly 6 hours every Sunday pulling together data from four different spreadsheets, his property management software, and QuickBooks to get a picture of how his portfolio was performing. He had 23 properties, 31 tenants, and no single place to see all of it at once.

He knew which properties were profitable — roughly. He knew which tenants were behind on rent — usually. He had a sense of his total monthly cash flow — approximately. But 'roughly,' 'usually,' and 'approximately' are not a business strategy. They are a liability.

The Problem With Spreadsheets

Spreadsheets are not a business intelligence tool. They are a data storage tool. The difference matters enormously. A spreadsheet can hold your data, but it cannot automatically update when something changes, it cannot alert you when a metric crosses a threshold, and it cannot give you a drill-down view of why a number changed. Most importantly, it cannot show you the relationship between your data sources — how your maintenance costs in one property are affecting your overall portfolio yield, for example.

The other problem with spreadsheets is that they require manual work to maintain. What We Built

We built a four-tab Power BI dashboard that connected directly to his property management software (AppFolio), his QuickBooks account, and a Google Sheet he used to track his acquisition pipeline. The dashboard updates automatically every 24 hours — no manual data entry required.

  • Portfolio Overview: Total portfolio value, monthly cash flow, occupancy rate, and year-over-year performance — all in one view
  • Property Performance: Individual property P&L, maintenance cost history, and tenant payment history for all 23 properties
  • Cash Flow Forecast: 12-month rolling cash flow projection based on current leases, upcoming renewals, and scheduled maintenance
  • Acquisition Pipeline: Potential properties being evaluated, with cap rate calculations and projected cash-on-cash returns

The Results

Within the first 30 days of using the dashboard, our client identified two properties that were significantly underperforming relative to the rest of his portfolio — properties he had assumed were 'fine' based on his spreadsheet reviews. One had a maintenance cost pattern that was eroding its cash flow by $400/month. The other had a below-market rent that he hadn't updated in three years.

After addressing both issues — renegotiating a maintenance contract and adjusting rent to market rate — his monthly portfolio cash flow increased by $1,100. The dashboard paid for itself in the first month.

He also eliminated his 6-hour Sunday data sessions entirely. The dashboard is always current. He checks it on his phone every morning — it takes about 3 minutes.
